Position Overview
We are seeking a detail-oriented and motivated Collections Specialist to join our esteemed law firm. The successful candidate will support the Billing Manager in handling all aspects of client collections. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. As a Collections Specialist, you will play a critical role in ensuring accurate and timely client payments, contributing to the financial health and client satisfaction of our firm.

Key Responsibilities:

  • Monitor Accounts Receivable to identify overdue bill payments and contact clients to discuss the outstanding balance.
  • Work with clients to establish acceptable payment plans.
  • Collaborate with attorneys and staff to resolve billing discrepancies and issues promptly.
  • Track all contacts, payments, and resolutions related to outstanding balances, ensuring accurate records for future reference.
  • Adhere to relevant state and federal laws governing collection practices.
  • Identify areas for improvement in the collection process and recommend ways to enhance efficiency and reduce outstanding balances.
  • Maintain a professional and respectful demeanor, even when dealing with difficult situations.
  • Ensure confidentiality and security of all financial and client information.

Qualifications:

  • Minimum of 2 years of experience in a collections or finance-related role, preferably in a law firm or professional services environment.
  • Proficiency in billing software and Microsoft Office Suite, particularly Excel.
  • Strong numerical aptitude and attention to detail.
  • Excellent organizational and time management skills.
  • Ability to communicate effectively, both verbally and in writing.
  • Strong problem-solving skills and the ability to handle sensitive and confidential information.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Familiarity with legal billing software (e.g., Clio, Bill4Time, or similar) is a plus.
